Offer Sheet ยท One Page
The pilot event: one night, fixed scope, no retainer
This sheet exists to lower the cost of saying yes. A new agency or brand does not need to trust SWAN with a season. It needs one event staffed well.
What the pilot covers
- Door and guest arrival: check-in, guest list handling, and first impression.
- Hosts and hostesses: selected for presence and composure, briefed on the brand before the event.
- Guest relations floor: a named SWAN lead on site, handling guests and problems before they reach the client.
- Brand ambassadors where needed: placed in the room to put the product in the right hands, in SWAN's own style: composed, not loud.
How booking works
- Step 1: a 15 minute intro call. Date, city, guest count, and the room are covered.
- Step 2: a scoped proposal within 48 hours, with roles, headcount, and a fixed price for the event.
- Step 3: SWAN casts and briefs the team. The client approves the roster before the event.
- Step 4: delivery on the night, led by the named SWAN lead.
- Step 5: a short debrief within 7 days, with the case study sheet if the client agrees.
Proof behind the offer
Fully staffed in 12 hours at the FIFA World Cup in Houston. Fifty or more staff recruited in 2 days. A NYFW client who said, in writing, that they will hire SWAN again. The detail is on the FIFA sheet and the NYFW sheet.
For the founder, before this sheet is used: set the pilot's floor price and the maximum travel range, and write both here. A floor price keeps the pilot from attracting the low budget work the plan says to refuse. Rates stay off the public site. They belong in the proposal.
