Prepared for the Founder of SWAN · Houston, TX

A plan to win more clients, without lowering the standard.

SWAN does not have a quality problem. It has an entry problem. The brand filters for exclusivity, but a qualified first-time buyer has no clear way in. This plan opens three doors and keeps the standard on all of them.

The diagnosis

Four findings from the live site at swanofficial.com, checked 20 October 2026.

Finding 1

Exclusivity with no entry lane

The site says engagements are by inquiry only, rates are not published, mass inquiries are not taken, and contact is by referral or direct contact only. That language protects the brand. It also gives a brand manager with a real budget and no referral no next step.

Finding 2

Six services, no single buyer

Concierge, events, talent, ambassadors, experiences, and staffing are presented with equal weight, to brands, private clients, and festivals at the same time. Each buyer has a different budget holder and a different buying moment. A page that speaks to all three converts none of them well.

Finding 3

The best proof is buried

During the 2026 FIFA World Cup in Houston, SWAN went from call to fully staffed on the Diplo activation in 12 hours, and recruited 50 or more staff in 2 days. That is the strongest sales fact the company owns. On the site it sits as three numbers with no story, no client name, and no case study behind it.

Finding 4

Hard to find, hard to check

The site is one page. There are no service or city pages for a buyer to land on from search, and no public social profile surfaced in search results. Buyers in this market check Instagram and past work before they reply to outreach. Right now that check comes back empty.

Fix 1: Sell three offers, not six pillars

Pick one primary buyer: experiential agencies and brand teams. They already hold activation budgets, they outsource staffing as a matter of routine, and they buy again. Private concierge stays referral only. It is margin, not volume.

Offer A

Rapid Response Activation Staffing

Staffing for an activation that is already sold and short on time. The pitch is the FIFA record: fully staffed in 12 hours, 50 or more staff in 2 days. Buyer: agency producers and brand activation managers facing a date they cannot move.

Offer B

White-Label Agency Partner

SWAN staffs under the agency name. One point of contact, a confidentiality agreement, and talent briefed to the agency brand. Buyer: experiential agencies that win work outside their home market or beyond their own roster.

Offer C

VIP Guest Experience, Pilot Event

One event, fixed scope: door, hosts, guest relations, and concierge floor for a single night. A new client risks one evening instead of signing a retainer. A pilot that goes well is the case for the second booking.

The tradeoff, stated plainly. Narrowing the public offer means some private and festival work gets a slower door. The gain is a pitch a buyer can repeat to their boss in one sentence. A broad pitch cannot be repeated, so it dies inside the client company.

Fix 2: Turn referrals into a system

Referral only works as a strategy when someone works the referrals. Three moves:

Fix 3: Pitch the event, not the agency

This work is bought 60 to 90 days before a date on a calendar. Outreach that names the event, the city, and the staffing problem beats outreach that describes SWAN. The full calendar, target list, and scripts are in the outreach kit.

Now: Oct to Dec 2026

Holiday season

Corporate holiday parties, brand holiday pop-ups, and private celebrations in Houston. The booking window is open today. This is also the reactivation window for every past client and lapsed inquiry.

Dec 2026 to Feb 2027

Art Basel Miami, NYFW, Super Bowl

Art week in Miami in early December, New York Fashion Week in February, and the Super Bowl in February. SWAN already has a NYFW testimonial from Nippies and THRASIO. Fashion week is the warmest cold outreach it can send.

Feb to Mar 2027

RodeoHouston

The Houston Livestock Show and Rodeo runs 2 to 21 March 2027, with the World Championship Bar-B-Que Contest on 25 to 27 February. Corporate hospitality, sponsor activations, and private tents all need hosts and guest staff. Pitching starts in November.

Fix 4: Open the funnel, keep the gate

The first 90 days

WindowWorkMeasure
Days 1 to 14Lock the three offers. Finish the agency and brand versions of the capabilities deck. Build the target list in the outreach kit. Send the reactivation message to past clients and lapsed inquiries.Deck sent to every warm contact. List of 60 named accounts ready.
Days 15 to 45Founder-led outreach, 10 partner conversations a week. Agency partner sequence and brand sequence run in parallel. Holiday and RodeoHouston pitches go out.15 to 20 intro calls booked. Proposal turnaround under 48 hours on every one.
Days 46 to 90Deliver pilot events. Turn each pilot into a case study sheet within 7 days. Ask every pilot client for the second date and two introductions.3 to 5 pilot events delivered. At least half asked for a second booking or a retainer talk.
What not to do. No paid ads to cold traffic. No discounting to win promo staffing work. No new services. Each of those buys clients who leave on price and refer more clients like them.
