The Plan / Targets + Outreach Kit

How this kit works

Start with Segment A. Agencies hold the budgets and buy repeatedly. Work Segment C in person in Houston at the same time, because partner introductions carry the highest reply rate in this market. Use Segment B for event-led pitches only, tied to a date on the calendar below. Every script names a real event and a real proof point. Fill the bracketed fields, send, and log the reply.

The scripts

Short is the luxury signal here. Every script is under 120 words. Send from the founder. Log every send and reply in one sheet with three columns: account, date, next step.

1 · Agency partner, first email

Subject: Staffing partner for [city / event]

[Name], SWAN is a Houston-based hospitality and activation staffing partner. During the World Cup we went from a call to a fully staffed activation in 12 hours, and placed 50 or more staff in 2 days.

We work white-label for agencies: your brand, our roster, one point of contact. If [agency] has Texas or national work coming up, I would value a 15 minute call. I will send our one-page proof sheet either way.

[Founder name], SWAN

2 · Agency partner, follow-up (day 4)

Subject: Re: Staffing partner for [city / event]

Attaching the one page I mentioned: the World Cup case, with the turnaround numbers. If a roster gap ever lands on your desk at short notice, that page is the reason to call us first. Happy to hold a standing intro so the first call is not during a crisis.

3 · Brand, event-led email

Subject: [Event] guest experience

[Name], ahead of [event], most brands lock production first and staffing last. That order is where guest experience usually breaks.

SWAN staffs the guest-facing layer: door, hosts, brand ambassadors, and concierge floor. At NYFW our client wrote that we elevated the experience and that they will hire us again. One pilot event is enough to judge us. Fifteen minutes this week?

4 · Houston partner, introduction request

Subject: A staffing partner for your events

[Name], I run SWAN. We supply hosts, door staff, and guest relations teams for luxury events in Houston, and we send our partners work we cannot take ourselves.

I would like to bring you our partner sheet in person and agree on a simple rule: you get a scoped proposal within 48 hours of any introduction, and your client hears from us the same day. Coffee this week?

5 · LinkedIn message (under 60 words)

[Name], I run SWAN, a Houston hospitality and activation staffing firm. World Cup this year: fully staffed in 12 hours, 50 or more staff in 2 days. We partner white-label with agencies on Texas and national work. Open to a short intro before your next busy window?

6 · Referral ask, past client

[Name], thank you again for trusting us with [event]. We are choosing our next season of work now, and referrals carry more weight with us than any other channel.

Would you introduce me to two people planning an activation or a VIP event in the next two quarters? I will send a one-page sheet you can forward, so the intro costs you one click.

7 · Reactivation, lapsed inquiry

Subject: Still planning [event type]?

[Name], we spoke about [event] earlier this year. Since then we staffed World Cup activations in Houston at 12 hours notice. If the event is back on the calendar, I can have a scoped proposal to you within 48 hours of a short call.

The intro call: six questions

Question 4 does the selling. The answer names the failure SWAN exists to prevent, and the proposal should quote it back in the first line.

Replies to the three common objections

“Send your rates”

Rates follow scope

“We price by event, because roles and hours change the number more than headcount does. Give me the date, city, and roles on a 15 minute call and you will have a fixed proposal within 48 hours.”

“We have a roster”

Be the second call

“Keep your roster. Rosters break at peak dates and short notice. That gap is our work: 50 or more staff in 2 days at the World Cup. Let us be the call you make when the roster runs out.”

“Send a deck”

Send proof, not paper

Send the one-page case study that matches their world, FIFA for scale or NYFW for fashion, and book the call in the same message. A deck without a call is where deals go quiet.

Weekly cadence and measures

ActionWeekly target
New agency or brand outreach25 named contacts
Partner conversations (Segment C)10, in person where possible
Follow-ups on open threadsEvery thread, twice a week until a clear no
Intro calls booked3 to 5
Proposals outWithin 48 hours of every call. No exceptions. Speed is the proof.
Stop rule. If a segment produces no calls after 50 well aimed sends, the offer or the list is wrong, not the volume. Change one of them before sending more. Do not buy lists, do not automate the founder's voice, and do not discount to create replies.
